This is an independent comparison. Acenteus does not sell practice management software and is not paid by any vendor named here. Prices and features were taken from vendor websites in October 2026, exclude VAT unless stated, and change often, so confirm them with the vendor before you buy.
The best accounting practice management software for a UK firm in 2026 is the one that tracks every Companies House and HMRC deadline automatically, keeps client onboarding and AML records in one place, and still works when part of the team sits outside the office, whether that is home workers, contractors or an outsourced team. For small firms, PracticeFlow and BrightManager are the most affordable UK-built options. TaxDome suits firms that want one all-in platform with a client portal. Karbon is strongest for team collaboration. Xero Practice Manager is free to Silver partners and above, and IRIS suits firms already on the IRIS suite.
Most comparisons you will find are written or sponsored by one of the vendors, and none of them asks what happens when the work is shared with people who are not on your payroll. That has become a practical question. Over 60% of practices say they outsource some work overseas to add capacity, according to the Accounting Talent Index 2025 reported by ACCA’s AB magazine. If your workflow tool cannot handle that safely, the jobs live in emails and spreadsheets again. This guide scores the tools on UK fit and on how well they work for an extended team.
Key takeaways
- What it does: practice management software runs the work, not the books. It tracks deadlines, jobs, client records, time and billing, and increasingly onboarding and AML.
- UK fit matters most: look for Companies House sync, HMRC deadline logic, Making Tax Digital workflows and somewhere to keep AML evidence.
- Prices vary widely: published prices run from £29 a month for a solo firm on PracticeFlow to $89 per user a month on Karbon’s Business plan. Xero Practice Manager is included for Silver partners and above.
- The hidden cost is seats: adding two remote or outsourced users can cost nothing on a flat plan or over £1,000 a year on a per seat plan.
- Permissions decide safety: if a tool cannot limit what a contractor or outsourced user sees, give them less access or choose a different tool.
What is accounting practice management software?
Accounting practice management software is the system a firm uses to run its work. It holds the client list, creates recurring jobs from deadlines, assigns tasks to staff, tracks progress and time, and in many cases handles proposals, engagement letters, client portals, document requests, billing and AML checks.
It sits alongside your other software rather than replacing it. Bookkeeping lives in Xero, QuickBooks, Sage or FreeAgent. Accounts and tax returns are produced in accounts production and tax software. Practice management ties those together so a manager can see, on one screen, which VAT returns are waiting for records, which year ends are with the reviewer and which self assessment clients have not sent anything yet.
What should a UK firm look for in practice management software?
Six features separate a tool that fits a UK practice from one that was built for somewhere else.
| Feature | What good looks like for a UK practice |
|---|---|
| Companies House sync | Enter a company number and pull in the year end, accounts and confirmation statement dates, then keep them updated automatically |
| HMRC deadline logic | Recurring jobs for VAT quarters, self assessment, CT600, payroll and P11D, created from the right dates without manual entry |
| Making Tax Digital workflows | Quarterly update jobs for MTD for Income Tax clients, which started for income over £50,000 in April 2026 and falls to £30,000 in April 2027 |
| AML and onboarding | Identity checks, risk assessments and a stored audit trail, so your supervisor can see what you did and when |
| Client portal | Secure document requests, uploads and e-signatures, so client files stop arriving by email |
| Time, billing and capacity | Time against jobs, fixed fee tracking and a view of who has spare hours next week |
On Making Tax Digital, HMRC’s guidance on how to sign up your client for Making Tax Digital for Income Tax sets out what agents have to do. Your practice management tool should turn each signed-up client into four quarterly update jobs and a final declaration, not one annual job. On AML, HMRC’s accountancy sector guidance for money laundering supervision is a useful benchmark for the records you need to keep, whichever body supervises you.
Best accounting practice management software UK 2026: the comparison
Prices below are the published list prices on each vendor’s website in October 2026. Where a vendor does not publish a price, the table says so.
| Software | Best for | Published price | UK features confirmed on vendor site |
|---|---|---|---|
| PracticeFlow | Small UK firms wanting simple deadline tracking | Starter £29 a month (1 user, 250 clients), Professional £39 (2 users, 500 clients), Enterprise £79 (up to 5 users, unlimited clients). Yearly saves two months | Companies House sync of year ends and filing dates, automatic UK deadline calculation, Owner, Admin and Staff roles |
| BrightManager (formerly AccountancyManager) | Small and mid-sized firms that want AML built in | Essential £42.63 per user a month, or £409.25 per user a year (2 to 12 users). Premium and Advanced £694.26 a year | Companies House integration, HMRC agent authorisation requests, AML checks and risk ratings, branded client portal with e-signatures, time and profitability |
| TaxDome | Firms that want one all-in platform with a strong client portal | £600 per seat a year on a 1 year plan, £580 on 2 years, £560 on 3 years | Client portal and client app, e-signatures, Companies House integration |
| Karbon | Larger teams focused on collaboration and email | Team $59, Business $89 per user a month billed annually. Enterprise on request | Client portal, time and billing, capacity planning. User permissions on Business and Enterprise only |
| Xero Practice Manager | Firms whose clients are mostly on Xero | Included for Silver, Gold and Platinum partners. £99 a month for up to 10 users for Bronze or new partners | Jobs, time, scheduling, WIP reporting, links to Xero Tax |
| IRIS Elements Practice Management and IRIS Practice Management | Firms already on IRIS accounts and tax | Not published | Cloud CRM, customisable workflows and secure client portal (Elements). Larger firm options include IRIS Practice Engine |
| Pixie | Small UK firms wanting simple, deadline-driven task automation | Not confirmed on vendor site | Not confirmed on vendor site. Third-party reviews describe client records, task automation from key dates and inbox sync |
Two cautions. First, a feature not listed in the right-hand column does not mean the tool lacks it. It means we could not confirm it on the vendor’s own site, so ask in the demo. Second, per user prices look small until you multiply them by your whole team, which is the point of the next section. Time and billing features also matter more if you are moving to fixed fees, a choice we weigh up in fixed fee vs hourly billing for UK practices.
How well does each tool work for an extended team?
This is the question no ranking answers, and it is the one that matters if you use remote staff, contractors or an outsourced partner. An extended team needs four things from your practice management tool: a named login for every person, permissions that limit what each person sees, an activity log that shows who changed what, and a predictable cost for adding and removing users.
The table below shows what adding two extra users for a year would cost on each published price, and what we could confirm about permissions.
| Software | Cost of two extra users for a year (published price) | Permissions confirmed on vendor site |
|---|---|---|
| PracticeFlow | £0 extra if you are within your plan's user limit. Moving from Professional to Enterprise adds £400 a year | Owner, Admin and Staff roles |
| BrightManager | About £819 on Essential annual pricing | Multi-user access confirmed, role detail not published |
| TaxDome | £1,200 on a 1 year plan. Multi-year licences can move between employees | Not confirmed on the pricing page, ask in the demo |
| Karbon | About $1,416 on Team, but user permissions need Business, about $2,136 | User permissions on Business and Enterprise |
| Xero Practice Manager | £0 for Silver partners and above. Bronze pays £99 a month for up to 10 users in total | Not confirmed on the product page |
| IRIS | Not published | Not confirmed |
| Pixie | Not confirmed | Not confirmed |
Read this table as a set of questions for your demo, not a verdict. The firm that should worry is the one that adds an outsourced team member to a tool with no permissions, gives them full access to every client and has no log of what they did. That is a data protection problem as well as a quality one. Our checklist of security and GDPR red flags when you outsource covers the access side in more detail.
When we work inside a client firm’s systems, the setup we ask for is the same whatever the tool: our own named logins, access limited to the clients we are working on, jobs assigned to us in the firm’s own workflow so the manager sees our progress next to everyone else’s, and review notes recorded in the tool rather than in email. If your practice management software can do that, it can handle an extended team. Our client communication framework for offshore accounting shows how the daily rhythm fits around it.
Which practice management software suits which firm?
Sole practitioners and firms under five people. PracticeFlow is the lowest published price and covers the UK deadline basics with Companies House sync. If you want AML and a client portal in the same tool, BrightManager’s Essential plan is the natural step up. Xero Practice Manager is worth a look if you are already a Silver Xero partner, because it costs nothing extra.
Growing firms of five to 30 people. The deciding factors become the client portal, automated client reminders and capacity planning. TaxDome offers an all-in plan with a strong portal, and Karbon is built around collaboration and shared inboxes, but price the Business tier if you need user permissions. BrightManager remains a strong UK-built option at this size.
Firms on a single vendor suite. If your accounts and tax software is already IRIS, the integration case for IRIS practice management is strong, and the same applies to Xero Practice Manager for Xero-heavy firms. Ask for a quote that covers the whole suite, not one module.
Firms that already use outsourced or remote staff. Put permissions and per user cost at the top of your list. A tool with good roles and a flat user allowance is worth more to you than a richer feature set you cannot safely open up.

How do you switch practice management software without losing deadlines?
Switching is less risky than it sounds if you treat it as a project with a fixed cut-over date.
- Pick a quiet month. Avoid January, and avoid the months after your most common year ends. Late spring or early autumn usually works.
- Clean the client list first. Remove lost clients, merge duplicates and check every company number. Bad data moved is still bad data.
- Rebuild recurring jobs from deadlines, not from the old tool. Let the new system calculate dates from Companies House and HMRC rules, then compare a sample against your old records.
- Run both systems for one month. Keep the old tool read-only as a safety net while staff learn the new one.
- Set up users and permissions before go-live. Including any remote, contract or outsourced users, so nobody shares a login on day one.
- Move AML records with an audit trail. Your supervisor will expect to see historic checks as well as new ones, so export and store the old evidence even if it does not import neatly.
Does practice management software solve a capacity problem?
It solves a visibility problem. A good tool shows you exactly where work is stuck, which is often the first time a partner can see that the bottleneck is people, not process. Automated reminders and client portals do save time, mostly in chasing records. They do not prepare a single set of accounts. AI agents are starting to take on some routine steps, as we explain in our guide to agentic AI for UK accounting practices, but a qualified person still has to prepare, review and sign.
So when the dashboard shows 40 year ends waiting for preparation in February, the software has done its job. The next decision is how to clear the queue: hire, use contractors, or share the work with a dedicated outsourced team who log in to the same tool. We set out the options in our guide to the most effective way to scale accounting practice capacity, and our peak season playbook covers the January crunch specifically.
How Acenteus Accounting helps
We do not sell software. We work inside the practice management, bookkeeping, accounts and tax tools your firm already uses, as an extension of your team. Our accountants take jobs from your workflow, update their status as they go and record queries and review points where your managers can see them, so your dashboard stays the single picture of the practice.
Acenteus is a UK company based in Brighton, with experienced accountants in dedicated delivery centres in India under UK oversight. Each client team works in its own dedicated lab, behind biometric entry, on protected devices, in a paperless office. Firms work with us through a Full-Time Model, a dedicated accountant or team working only on your clients, or an Hourly Model for peaks and catch-up work.
“Their precision and efficiency free up our time to focus on high-value advisory work and client growth,” says the Tax Partner at Sinclair & Associates.
If your new practice management tool has just shown you where the queue is, see how we work on our accounting outsourcing for UK accountants page, or tell us which jobs are stuck and we will suggest a first batch.
Frequently Asked Questions (FAQ)
It depends on firm size and stack. PracticeFlow and BrightManager are affordable UK-built options for small firms, TaxDome and Karbon suit growing teams that want a strong client portal or collaboration tools, and Xero Practice Manager or IRIS make sense for firms already committed to those suites.
Published prices in October 2026 range from £29 a month for one user on PracticeFlow to £600 per seat a year on TaxDome and $89 per user a month on Karbon's Business plan. Xero Practice Manager is included for Silver partners and above.
Yes. Give each outsourced team member a named login, limit their access to the clients they work on, assign jobs to them in your normal workflow and keep the activity log switched on. Check user permissions and per user cost before you add them.
It is included at no extra cost for Xero partners at Silver, Gold and Platinum level. Bronze and new partners can trial it for 14 days and then pay £99 a month for up to 10 users.
BrightManager lists AML and identity checks, risk assessments and client risk ratings as built-in features. Other tools may offer AML through add-ons or integrations, so ask in the demo.
Once you have more than a few dozen clients, yes. A spreadsheet can track deadlines, but it will not create recurring jobs automatically, sync with Companies House or keep an audit trail of who did what.
Plan for four to eight weeks, including a month running both systems side by side. Choose a quiet month and set up all users and permissions before go-live.
